The actual problem
Helpdesks let you write macros. They rarely let you say 'refund this order if it is unfulfilled and under $80, otherwise draft and wait'. That gap is why humans still click Refund.
Most Shopify refund tickets are mechanical: unfulfilled cancel, in-window return, damaged with photo. Those should not sit in a queue overnight.
The playbook
- Start with unfulfilled cancels only. Lowest risk, immediate customer relief.
- Add in-window returns to original payment for SKUs that are not final sale.
- Add exchanges when the new variant is in stock in the same location.
- Require a photo for damage and 'empty box' claims over your photo threshold.
- Offer store credit as a default when the item is final sale but the customer is still inside 14 days — if that is actually your policy.
- Review the refund log every Friday for the first month. One bad refund teaches more than a prompt tweak.
